Shoot us a line, give us a call, schedule a meeting, or send a pigeon we will work with your communication style and timeline to figure out the right next steps to take.  We talk, you get a proposal, adjustments get made, contract signed, and then we get started.  


We have worked with tight timelines:


  • Securing prime activation space for an experiential marketing pop up at San Diego Comic Con with a few days notice
  • Launching a multi city experiential marketing roadshow complete with branded custom event assets, routing, catering partners, live entertainment partners, five person tour team, and more in less than six weeks
  • Sourcing a location, completing permitting, and coordinating vendors for a 2500 person festival in less than 60 days


HOWEVER while we take pride in these past accomplishments we always advise to reach out early in your planning process.  We are happy to have a consulting call to figure out appropriate timelines and get some options in front of you before contracting.  


Some recommended timelines:


  • staffing and on site management services:  30 days out
  • venue and activation space sourcing for small experiential pop up: 60 days out
  • full tour routing: 90-120 days out
  • producing experiential marketing/event marketing project or tour: 4-6 months out
  • Event Venue Sourcing and vendor coordination for small concert or live event: 90 days out



  


We work with businesses of all sizes and industries, from small startups to large corporations.  A large share of our business comes from agency partnerships where XMFM can serve as an extension to your services through field management/staffing, a capacity boost when starting new ventures or when stretched thin by other projects, or our specialty navigating the process to find, secure, and permit the right location/s for your event/activation/concert. 


The short of it is we source venues and activation spaces for you.  Whether that is connecting you into an event venue for a concert, a high foot traffic location for an experiential marketing activation, or even a full city park or block to throw a festival.  We use our expertise and venue network to present you a range of options that match what you are trying to do, handle contracts, front financials, navigate permitting(if needed/wanted), and coordinate filling in any other service gaps(concessions, catering, security, ticketing staff, DJs, photographers, etc).  Along the way we do all we can to support the success of your event/s, maintain quality control above what is obligated by the venue contract, and make the process as smooth and budget friendly as possible.
